Onboarding Manager

Cubigo is looking for a high-energy, organized and experienced Onboarding Manager to join our growing onboarding team in the United States & Canada. You will own the journey from signed contract to go-live and handover: a clear timeline, a client team that delivers its inputs on time, and a launch that lands on the date we committed to, without missing the smallest of details. You will leave behind a client that is confident, trained and ready to get value from Cubigo.

About the role

Successful candidates are project managers first. Senior living experience helps, but it is not required, because we can teach the industry. You will lead cross-functional work with sales, configuration and data, product, support and customer success to deliver a smooth, on-time launch. You will join an onboarding team, so collaboration and teamwork are a big plus.

We are in a fast-paced growth environment. If you enjoy structure and rolling up your sleeves, can run several projects at once and thrive in ambiguity, you will create success for the client, yourself and the company while being at the forefront of an industry in change.

Responsibilities

  • Get every new client live on time and set up for success: a smooth preparation, configuration, training and launch for executive directors and operational staff, with a clear path to value pre- and post-go-live.
  • Hand over a well-configured, trained client to our Customer Success and Support teams, and keep improving how we onboard so we can scale towards a repeatable, plug-and-play implementation.
  • Review the sales handover and scope each project: estimate effort by community size and scope, and build a customized timeline (typically 6 to 8 weeks to go-live) that is presented at every kickoff.
  • Run the kickoff: introduce Cubigo and our way of working, map the client’s project team, and agree on responsibilities and critical deadlines.
  • Collect the client’s inputs (menus, staff and resident data, services, configuration details) with firm deadlines, and chase them early so go-live is never delayed by missing information.
  • Lead the project calls with the timeline front and center. Track progress against the plan, keep the client accountable and escalate risks early.
  • Work with our configuration, data and product teams to set up each community accurately, and flag where the product needs to change.
  • Plan and deliver training: have staff complete Cubigo Academy first, then run interactive live sessions in the client’s own environment, scoped to the modules they bought, with recordings and homework. Provide resident-facing material and support the client in launching to residents.
  • Collect ideas for:
    • standardization of implementation
    • new functional and usability features to add to our product
    • sharing client feedback for product upgrades and representing the client in our roadmap discussions
  • Lead the go-live and the stabilization period after it, including hands-on support and troubleshooting, then transition the client to Customer Success and Support with a clean handover.
  • Leave behind trained staff and a clear support structure within the client’s community.
  • Manage several implementations at the same time (with supporting full-time and part-time staff) while designing techniques to accelerate our ability to scale towards a plug-and-play implementation.
  • Keep the project record accurate and give clear progress updates to the client and internal teams.

Our environment

Cubigo operates in a team-based environment, supporting each other as we grow rapidly in 2026 and beyond. We expect professional self-starters with positive energy who will advocate for our clients as they embark on a new Cubigo-enabled journey, transforming the industry.

Skills

  • Social and personable: a good trainer and facilitator of groups of staff embarking on new technology, able to build relationships with client executive and administrative staff.
  • 3+ years of customer-facing project management experience, ideally implementing software (B2B SaaS) with a client team. PMP or PMI certification is a plus.
  • Strong planning and organizational discipline: you build a realistic timeline, hold a client to it and escalate early when it slips.
  • Experience training users on new technology, in any industry. Training staff or seniors is a plus.
  • Experience in the health or senior living industry is a plus, but not required.
  • Comfortable with data and configuration: you can gather and check client inputs, spot gaps and work with a technical team.
  • Ability to manage and interact with different types of teams (customer, configuration and data, product, support, customer success, external partners).
  • Creative, patient problem-solver who can investigate, troubleshoot and resolve issues. There is a strong support and troubleshooting element to the role, so problem-solving skills and patience matter. You can also tell when a product change is needed.
  • Strong presentation and facilitation skills for kickoffs, trainings and project calls.
  • jExperience in a startup or scale-up environment is desirable.

Travel

  • Up to 20% based on client engagement needs.
